A single three-hour appointment in which a family lists what documents exist and where each is held. The archivist records item, description, location, and issuing body — producing a printed and digital index the family keeps. Nothing is read for meaning; nothing is drafted.

Family Records Archiving Project
A six-week project producing a complete, indexed, and preserved archive of a family's papers and photographs. Covers collection under a signed handling agreement, cleaning and flattening, archival sleeving, scanning at 600dpi, consistent file naming, and a searchable index. Originals returned in acid-free boxes.

Household Records Stewardship
A twelve-month arrangement for families who want the archive maintained after it is built. Two scheduled filing visits per year, ongoing accession of new papers, condition checks on fragile items, updated finding aids, refreshed encrypted copies, and an annual written report on the collection.

A considered approach to family papers
Archival methods, not office filing
Items are cleaned, sleeved, and housed in acid-free materials. Scans follow a 600dpi standard with consistent file naming that persists across systems and decades.
A signed handling agreement before anything moves
Nothing leaves the family's possession without a written agreement. Originals are returned. Copies go only to the named family members specified at the outset.
Clear boundaries on what we do
We list. We describe. We preserve. We index. Where a question of interpretation arises, it is written down and referred to the appropriate qualified professional — solicitor, notary, or registrar.
Work at the family's pace
Appointments are set by the family. The archivist does not rush. If a session needs to pause, it pauses. The index is a document the family controls from day one.
Encrypted copies for each family member
The archiving project and stewardship arrangement both include a separate encrypted drive for each named family member, so no single person holds all copies.
A finding aid written in plain language
The printed finding aid is designed to be read by any adult in the family, not only those familiar with legal or archival terminology. It explains what each box or folder contains and where to look.

What exactly does the archivist do during an inventory session?
The archivist works from the family's own account of what documents exist. Each item is recorded by name, brief description, current location, and the body that issued it. A written list is produced and handed to the family at the end of the session. The archivist does not read documents for meaning, does not state any view on what a document does or requires, and does not photograph anything without explicit permission.
Will you tell us what the documents mean or what we should do?
No. Legacine provides archival and clerical support only. Where a family raises a question that requires interpretation — of a will, a land title, a company document — that question is noted in writing, alongside the type of qualified professional who ordinarily answers it. We can also maintain a directory of the public bodies and qualified professionals the family already works with.
How long does the archiving project take?
The Family Records Archiving Project runs over six weeks from the date the handling agreement is signed and collection begins. The timeline covers safe transport, cleaning, sleeving, scanning, file naming, indexing, and production of the printed finding aid. Timelines for unusually large collections are discussed before the agreement is signed.
What happens to the originals?
All original documents are returned to the family in acid-free boxes at the end of the archiving project. Nothing is retained by Legacine beyond the terms of the signed handling agreement. The encrypted digital copies go to each named family member; no copy is kept on our systems after handover.
What does the stewardship arrangement cover each year?
The twelve-month stewardship includes two scheduled filing visits, accession of new papers as they arrive, condition checks on fragile materials, an updated finding aid and index, refreshed encrypted copies for each family member, and a written annual report on the state of the collection. Scheduling is arranged at the family's convenience.
Can we begin with the inventory and decide on archiving later?
Yes. The Estate Document Inventory Session is a standalone appointment. It produces a complete written index the family holds. If the family later decides to proceed with the archiving project, the inventory forms a useful starting point, though it is not a prerequisite.
Do you work with families outside Kuala Lumpur?
Most appointments take place at the family's home or at a location the family chooses in the Klang Valley. Enquiries from families based elsewhere in Malaysia are welcome; travel arrangements and any additional costs are discussed before any agreement is made.
