Box 02 — Methodology

How Legacine approaches every project

Every service begins with a written agreement stating what will be done, who is authorised to receive output, and how originals will be handled. No document is moved, photographed, or copied without that agreement in place.

The archivist's role is to describe, not to interpret. Documents are recorded by type, date, issuing body, and condition. Where the family raises a question that requires legal, financial, or valuation expertise, that question is written into a separate list alongside the type of professional who ordinarily answers it. Legacine does not answer those questions.

All materials returned to the family are in the same condition as they were received, or better. Fragile items handled during the archiving project are cleaned and sleeved before being returned in acid-free boxes.

Box 03 — Service 01

Estate Document Inventory Session

Handled with care. This appointment is often arranged during bereavement or shortly after. The archivist works at the family's pace. Nothing is read for meaning. No view is stated about what any document does or requires. All questions of interpretation are written down and referred.

Duration: One appointment of approximately three hours

A single appointment in which a family lists what documents exist and where each one is held. The archivist works from the family's own account, recording item, description, location, and issuing body in a written inventory. The result is a printed and digital index the family holds. The archivist reads nothing for meaning and drafts nothing.

What is included

  • Written inventory produced and handed over same day

How the appointment proceeds

  1. 01Family gathers available documents, in whatever order they are currently in.
  2. 02Archivist works through each item with the family, recording details into the inventory form.
  3. 03Questions requiring professional expertise are noted separately.
  4. 04Printed inventory and referral list handed to the family before the archivist departs.

Box 04 — Service 02

Family Records Archiving Project

Duration: Six weeks from signing

A six-week project producing a complete, indexed, and preserved archive of a family's papers and photographs. Covers collection under a signed handling agreement, cleaning and flattening where safe, archival sleeving of fragile items, scanning at 600dpi, consistent file naming, a searchable index by person, date, and document type, an encrypted drive for each named family member, and a printed finding aid in plain language. Originals are returned in acid-free boxes.

Document sleeves and archival boxes
Handled with care. Family papers from estates are treated as personal materials. They are handled under a signed agreement. They are not shared or copied beyond the agreed scope. Originals are not retained by Legacine after handover. Legacine makes no statement about the meaning or value of any item in the collection.

Box 05 — Service 03

Household Records Stewardship (Annual)

Handled with care. The steward organises and preserves. No statement is made about the meaning or effect of anything in the boxes. Families remain in full ownership of their papers at all times. The arrangement can be ended by either party with written notice.

Duration: Twelve-month arrangement, renewable

A twelve-month arrangement for families who want the archive maintained after it is built. Covers two scheduled filing visits, ongoing accession of new papers as they arrive, condition checks on fragile items, an updated finding aid and index, refreshed encrypted copies for each family member, a maintained directory of the public bodies and qualified professionals the family already works with, and an annual written report on the state of the collection.

Box 07 — Standards

Technical and professional standards

Personal Data Protection Act 2010

Personal information collected during appointments is handled in accordance with Malaysian data protection law. Data is used only for the purposes described in the service agreement.

Conservation-grade materials only

Acid-free boxes, archival polyester sleeves, and no adhesives on originals. All materials selected to prevent long-term chemical damage to paper and photographic materials.

600dpi scanning minimum

All scans produced at 600dpi — the standard used by institutional archives for preservation-grade digitisation. Higher resolutions used for maps, plans, and oversized materials.

Encrypted physical drives

Digital copies delivered on encrypted drives only. No upload to cloud services. No retention of copies by Legacine after handover. Each named family member receives a separate drive.

Written agreement for every project

No work begins without a signed handling agreement. Scope, authorised recipients, and handling of originals are stated in writing before any document is moved or copied.

Professional archival membership

Practice members hold membership in the Malaysian Archivists Association and follow its professional standards for description, preservation, and client confidentiality.
